13. When should community colleges update their programs of study (POS) in IIPS?
Colleges are mandated to update their programs of study under the following (3) scenarios:
The State Board of Community Colleges (SBCC) revises the core courses listed on the curriculum standard, or
The Curriculum Review Committee (CRC) revises or archives a course listed on the program of study.
A college revises the requirements of a program of study.
The System Office sends out a numbered memo to all presidents and chief academic officers of the community colleges notifying them of the revised curriculum standards and the revised courses. The memo is also forwarded to the CC CIS CU PROGRAMS email recipients. Colleges should use these memos as a part of their local curriculum review process to ensure that all POS are updated within deadline. Colleges may also use the menu item in IIIPS called Find Course in Program to determine in which POS a specific course or version of a course is listed.
Revised Curriculum Standards
Each curriculum standard has an effective term. Colleges must update
the POS within one year of the effective term, though colleges may
choose to update the POS as early as the effective term listed on
the curriculum standard. For instance, if the Welding curriculum
standard is revised with a Fall 2009 effective term, the college may
choose to update their Welding POS in Fall 2009, but the college
must have the Welding POS updated by Fall 2010 to remain in
compliance.
Revised Courses
Each course version has an effective term. Colleges must update all
POS containing the revised course within one year of the course's effective term, though colleges may
choose to update the POS as early as the course version's effective
term. For instance, if MAT-289 is revised for Fall 2009, the college
must update all POS that include MAT-289 so that the POS lists the
Fall 2009 version of MAT-289 instead of the older version of
MAT-289. College's must have the POS updated by the Fall 2010 term
to remain in compliance.
