Position Description

The Purpose

The Accounts Receivable Coordinator works under the direction of the Assistant Director of Finance. This position is primarily responsible for monitoring and reviewing institutional account balances and reporting financial data.

  • Responsible for maintaining an accurate and complete sub- and general ledger in order to ensure resulting reports and financial statements are in compliance with generally accepted accounting principles and College policies;
  • Assist in the daily administration of accounting functions including posting journal and budget entries;
  • Balance and reconcile assigned accounts and/or funds; research and reconcile any problems or discrepancies;
  • Prepare reports involving assigned accounts and/or funds, ensuring compliance with all applicable statutory, regulatory, and/or College requirements;
  • Reviews, prepares and sends monthly detailed reports to grant coordinators;
  • Maintains accurate and detailed tracking spreadsheets for active grants; monitoring reporting, compensation, and compliance agreements to ensure grant compliance;
  • Reviews and reconciles general ledger accounts related to grants. Prepares correcting and adjusting journal entries as necessary;
  • Ensure the accuracy and completeness of documentation for grant-related financial activities, proactively addressing potential audit issues. Lead preparation for internal and external audits, serving as the point person for documentation requests and responding audit inquiries;
  • Review grant payables, including travel requests, P-Card charges, and requisitions for POs, ensuring compliance with grant requirements;
  • Prepares facility rental invoices;
  • Collaborate with student services to review and approve necessary adjustments to student accounts, process financial aid disbursements and returns to Title IV(R2T4), reconcile the institutional accounts for all state & local awards as well as scholarship funds;
  • Prepare financial aid reconciliations;
  • Invoice the college foundation monthly for scholarships and emergency grants;
  • Assist with preparation of the annual financial statements including lead sheet preparation;
  • Ensure compliance and confidentiality with all policies and procedures of the College, NC Community College System, and applicable State and Federal agencies;
  • Ensure internal control processes are adequate to ensure the protection of College assets. Position will assist with EAGLE completion;
  • Other duties as assigned;

Qualifications

  • Associate’s degree in finance, accounting, public administration, or a related field.
  • A combination of education and related experience may be considered.
  • At least one (1) year of experience in financial management, grant accounting, or related field, preferably within a government or community college setting.

Skills and the Know-How
Knowledge of accounting and bookkeeping principles and practices. Must be proficient in Excel. Ability to work independently with limited supervision. Ability to maintain accuracy under pressure. Excellent math skills, with strong analytical and problem-solving abilities. Possess strong personal and professional integrity, with the ability to maintain confidentiality and exhibit discretion and sound judgment in decision-making. Ability to use critical thinking and problem-solving skills. Excellent communication skills, both oral and written. Excellent interpersonal and customer service skills. Ability to prioritize multiple assignments, adapt to changing priorities and situations, and follow through on the completion of assignments.

Difficult Challenges: Compliance with state regulations, college procedures, and grant requirements. Knowledge of tasks that need to be completed and appropriately prioritized so that deadlines are met. Constant interruptions cause breaks in focus and increased stress. Changing priorities with fixed deadlines. Constantly moving, fast-paced environment.
