Minimum Qualifications
- Associate’s degree
- Two years’ experience in Office System Technology, Secretarial Science, Business, or related field
- Proficient knowledge of Microsoft Office applications
- Completes tasks timely.
- Ability to communicate with all levels of employees of the College and Donors
Preferred Qualifications
- Two years’ experience in nonprofit
- Proven ability to work with diverse population including administration, faculty, staff, and students,
Position Description
Under general supervision the administrative assistant works in a collaborative team manner to provide clerical, organizational, and administrative support for the Foundation. This will include, but not limited to; typing, data entry, reception, maintain inventory of office supplies, completing requisitions, distributing mail, managing incoming calls, arranging appointments, operating and maintain various office equipment including copiers, printers, computers, LCD projector, scanner, and fax machine. Assisting staff with clerical needs; working effectively with the public, co-workers, students, and donors.
- Provides administrative and clerical support for the Foundation Department
- Coordinates daily office operation.
- Assists the Executive Director and staff in planning, organizing, coordinating, directing, and executing the Foundation events including working flexible hours to setup and breakdown of event includes standing for extended periods of time and lifting twenty pounds or more.
- Exceptional working knowledge and ability to perform tasks required in Excel spreadsheets, Word, Avery for labels, donor database programs and scholarship database.
- Assist students with filling out scholarship applications.
- Schedules appointments and speaking engagement for the Executive Director and the President of college.
- Ability to work and communicate effectively with the public, a diverse faculty, staff, and student population.
- Monitors, orders, and maintains office and supplies for the Foundation.
- Knowledge and use of word processing, spreadsheet, and database applications
- Works in a multi-task environment, requiring organizational and people skills.
- Secretary for Board, Resource and Finance meeting
- Purchase supplies for board meeting and setup for board meetings.
- Designated point person to create and submit work order requests for division.
Collects and distributes mail.
- Oversees working conditions of office equipment (fax, copy machine, scanner, etc.)
- Receives incoming calls, guests, and inquiries (takes calls, messages, etc. and communicates appropriately)
- Assist with taking students to bookstore for purchase or other purchases.
- Taking photos when marketing person is not available.
- Ability to maintain confidentiality.
- Ability to work flexible schedule for events.
- Performs other related duties as required.
