Minimum Qualifications

Required:

  • Associate Degree in Business Administration, Entrepreneurship, Accounting, Finance (or related field) or equivalent work experience (will consider a degree in progress)
  • Excellent written and oral communication skills
  • Outstanding customer service skills
  • Exceptional attention to detail and corresponding organizational skills
  • Proficiency with Microsoft Office

Preferred Qualifications

  • Three years of demonstrated business/industry work experience
  • Event planning background
  • History of working within the community college setting
  • Stanly County resident
  • Proficiency with Canva software
  • Proficiency with Facebook, Instagram, and LinkedIn

Position Description

In support of the SBC, the Assistant will provide administrative/clerical operational support as well as programmatic planning and coordination, which supplements that of the Director of the SBC, to whom the Assistant directly reports.

  • Staff at the front desk during normal business hours in a punctual manner
  • Greeting and aiding visitors/walk-ins
  • Answer the front desk telephone/take messages
  • Schedule client appointments in coordination with the Director
  • Assist the Director in responding to electronic Requests for Counseling (eRFC) within no more than three business days per the SBCN Operations Manual
  • Set up guest counseling sessions by subject matter experts (SME) and secure consultation notes before SME payment
  • Become proficient with Center IC [the SBCN Client Management System (CMS)]
  • Assist the Director with developing, scheduling, and administering required “Core” as well as additional innovative seminars/webinars/workshops/training events that build the skills of business owners
  • Handle all aspects of seminar documentation per SBCN guidelines, including but not limited to:
    • Creating seminars in Center IC
    • Creating physical seminar folders
    • Distributing contracts, including Instructor Contracts, Professional Services Agreements, Memoranda for File stating that the session was presented gratis, and Conflict of Interest and Confidentiality Agreements, for signatures
    • Submitting invoices to the SCC Business Office for payment
    • Verifying that seminars comply with SBCN requirements
    • Digitizing files in Microsoft Teams
  • Promote training events by crafting flyers and other marketing materials
  • Gather information to prepare the Director for confidential business counseling sessions
  • Network with the SBC’s Advisory Board, local business owners, colleagues, and external partners (g., Stanly County Economic Development Commission, City of Albemarle Economic Development Commission, Stanly County Chamber of Commerce, Albemarle Downtown Development Corporation, other municipal agencies, etc.), and the citizens of Stanly County to identify and fill needs of small businesses throughout the entire county (SBC “service area”)
  • Assist with community and campus outreach to increase awareness of the existence and resources of the SBC and to recruit aspiring entrepreneurs and existing small business owners to become SBC clients
  • Send Constant Contact update email to the mailing list monthly (or more often as needed)
  • Maintain SBC social media accounts with regular postings and paid advertisements
  • Update the SBC webpage with client Success Stories and other relevant content in conjunction with the Director and the College’s Marketing Department

OTHER DUTIES:

  • Work as a team with the Director
  • Become familiar with the SBCN Operations Manual
  • Maintain strict client confidentiality
  • Exhibit a professional decorum in appearance and etiquette at all times
  • Possess problem-solving skills to be able to assist all clients to some degree
  • Help keep the SBC facilities in a clean, neat, and orderly fashion
  • Schedule conference room used by third-party groups with permission of the Director
  • Help the Director monitor budget expenditures to submit accurate mid-year (Form SBCN-B1) and Annual Reports to the SBCN State Director
  • Submit general office (non-seminar) invoices to the SCC Business Office for payment
  • Send economic impact surveys/file updates to clients when instructed to do so by the Director
  • Aid the Director with submission of the Economic Impact Review to the Regional Director
  • Handle e-procurement requests by the Director
  • Organize and maintain the SBC Resource Center, including ensuring resources that have been checked out are returned on time
  • Ability to work occasional evening hours, primarily as a seminar facilitator

GENERAL COLLEGE DUTIES:

  • Maintain a collaborative working relationship with college faculty, staff, and students as well as local businesses
  • Due to SBC being a customer-facing office, this position does not offer the option to work remotely
  • Perform all other duties as assigned
