Position Description
The Assistant Director of Fiscal Services serves as backup to the Director of Fiscal Services, provides daily oversight of the work completed in the Fiscal Office as well as completing reporting as required. The primary responsibilities consist of budget monitoring, reporting, balancing assigned accounts, creating and entering journal entries, managing capital assets, and verifying financial transactions
Essential Duties and Responsibilites :
- Serves as the Director of Fiscal Services in his or her absence.
- Assist in maintaining an accurate and complete general ledger in order to ensure resulting reports and financial statements are in compliance with generally accepted accounting principles and College policies;
- Assist in the daily administration of accounting functions including posting journal and budget entries;
- Balance and reconcile assigned accounts and/or funds; research and reconcile any problems or discrepancies;
- Prepare reports involving assigned accounts and/or funds ensuring compliance with all applicable statutory, regulatory, and/or College requirements;
- Ensure compliance and confidentiality with all policies and procedures of the College, NC Community College System, and applicable State and Federal agencies;
- Ensure internal control processes are adequate to ensure the protection of College assets
- Assist with EAGLE completion;
- Provide technical assistance and support to college staff in matters related to financial accounting and budget administration.
- Assists with the reconciliation of all bank statements.
- Assist in the preparation of financial reports in accordance with generally accepted accounting procedures and coordinate activities, including the annual audit
- Maintains an in-depth knowledge of the principles, practices, theories, and terminology of accounting (GAAP, GASB, & FASB), budgeting, and fiscal management.
- Monitors and reconciles college grants, reimbursement requests, and invoices as required by the granting agency.
- Completes a variety of reports required by the North Carolina Community College System, the NC State Auditor, the NC State Controller, and other government agencies including the 112-package due each month end.
- Assists the Director of Financial Services with balancing clearing accounts.
- Monitors cash balances to ensure available funding for outstanding expenditures.
- Assists the Director of Financial Services with the year-end balancing, reconciling, closing, and financial statement preparation which includes the preparation and completion of the year-end journal entries.
- Coordinates special projects within the office to improve efficiency.
- Assists the Director of Financial Services by learning all Business Office Responsibilities for each position and by learning all aspects of the services provided by the Business Office.
- Reconcile and submit payment for bookstore charges
