The Continuing Education Registration and Records Specialist will be the main point of contact for instructors and staff in the Registration and Records department and will be responsible for reviewing instructional records for compliance with State requirements. The selected candidate will also provide technical assistance in a dynamic education environment requiring accuracy, efficiency, strong interpersonal, written, and oral skills, and the ability to work independently. The Continuing Education Registration and Records Specialist must be detail-oriented and will be expected to provide exemplary customer service to students, the public, the community, and colleagues on a daily basis. The position also necessitates maintaining flexibility and willingness to change, open-mindedness, fairness and the ability to see multiple perspectives, and a desire for professional and personal growth.
Under the direction of the Continuing Education Registration and Records Director, the Continuing Education Registration and Records Specialist works cooperatively with faculty and staff to perform the following:
· Assist the Continuing Education Directors/Coordinators and Dean of Continuing Education with internal and external marketing and communication efforts such as public relations activities, media inquiries, publication development, social media, and other promotional activities.
· Assist the Marketing Department when finalizing the Continuing Education course schedules and act as the primary point of contact for the USPS during mail distribution of catalogs and mailers.
· Create and distribute frequent updates regarding continuing education course offerings via multiple platforms.
· Assist with updating and approving continuing education program and class webpages with current course schedule information via online registration and payment system.
· Assist with all incoming calls to the Division of Continuing Education, answer questions, forward calls, process registrations and payments, and take messages as necessary.
· Verify cash at the beginning and end of each shift, complete cash reports, and prepare deposits at the end of shift.
· Provide clerical support as needed (word processing, answering inquiries, greeting public, answering telephone, making copies, running reports, etc.).
· Assist the Continuing Education Office Manager in maintaining office supply inventory and processing purchasing requisitions via NC E-Procurement as needed.
· Maintain and update relevant internal forms for the Continuing Education division.
· Prepare class folders for Continuing Education staff use.
· Process Continuing Education transcript requests.
· Process and mail Continuing Education Certificates of Completion and other related documents.
· Assist with SoftDocs scanning, organizing, and archiving of class folder information.
· Act as responsible party for running Ellucian ILP Bulk Job reports daily for provisioning of LMS accounts for CE students.
· Assist with all aspects of scholarships for the Continuing Education Division.
· Maintain up-to-date listing of bookstore prices for Continuing Education books.
· Serve as a member of the Advisory Committee of the BCCC Bookstore.
· Maintain student, instructor, and staff confidentiality. Consistently monitor work area to ensure instructor and student data is being protected according to Family Education Rights and Privacy Act (FERPA) regulations and related rules, regulations, and laws. Participate in annual FERPA training.
· Serve as the BCCC Campus Security Authority representing the Division of Continuing Education with the BCCC Police Department.
· Collect and compile relevant registration data as necessary and prepare reports for Continuing Education staff.
· Multi-task, prioritize, and manage time effectively.
· Adapt and respond to changing work situations and environments in a positive manner.
· Understand and improve upon internal work-flow procedures in an effort to provide improved customer service to Continuing Education customers, both internal and external.
· Serve on college committees as requested.
· Participate in professional development activities designed to enhance job skills and knowledge, as agreed upon by the employee and supervisor.
· Interact with students, the public, the community, and co-workers in a cooperative, courteous and professional manner.
· Comply with the College’s policies and procedures.
