Position Description

Do Great Things! Durham Technical Community College is hiring an Executive Assistant in the  Campus Operations Department. This position provides high-level administrative and operational support to the Vice President of Campus Operations and the divisional leadership team. Coordinates executive communications, scheduling, projects, and meetings while ensuring the efficient management of budgets, purchasing, payroll, and human resources processes. Oversees logistics for events, external facility use, vendor relationships, and departmental operations. Serves as a key liaison across the division, supporting strategic priorities and the effective daily operation of Campus Operations departments.

Examples of Duties

  1. Serve as the primary administrative liaison for the Vice President, responding to inquiries and coordinating communication with internal and external stakeholders. 
  2. Manage calendars and schedule appointments for the Vice President and Campus Operations leadership team. 
  3. Prepare correspondence, reports, presentations, agendas, meeting materials, and minutes for divisional meetings, committees, and leadership activities. 
  4. Coordinate divisional projects, deadlines, and follow-up items to ensure timely completion of priorities and initiatives. 
  5. Assist with managing divisional and departmental budgets for Campus Operations, including the central office, Facilities Services, Campus Police and Public Safety, Instructional Technology Services, Compliance, and Information Technology Services. 
  6. Process orders and maintain office supplies, technology, and other requisition requests through e-procurement and p-card purchases; assist with p-card reconciliation for Campus Operations departments. 
  7. Prepare and review Human Resources and Payroll documents, including part-time contract processing. 
  8. Plan, schedule, contract, and oversee external groups using Durham Tech facilities for meetings and conferences; coordinate facilities, security, and catering support. 
  9. Assist with travel arrangements, event planning, and logistics for the Vice President and divisional leadership. 
  10. Coordinate effectively with auxiliary service vendors, including the Print Shop, vending services, Durham Tech Café, and Bookstore. 
  11. Maintain administrative records and operations for the College motor pool fleet. 
  12. Operate and maintain office equipment, including copiers, printers, and phone systems. 
  13. Perform other duties as assigned.
