Position Description

GENERAL JOB DESCRIPTION: The Support Services Specialist reports directly to the Facilities Operations Manager. The Support Services Specialist will play a critical role by assisting in housekeeping and maintenance supplies and repair procurement processes. This position will also perform numerous administrative support duties including mail, phones, filing and appointments. This position provides administrative support to facilitate facilities operations. This position will serve as the customer service point of contact for facilities support.

DUTIES:
• Perform various administrative tasks, such as spreadsheets, contract review, bidding processes and assisting with updating departmental operating manuals.
• Provide assistance to Facilities staff with the procurement of supplies, equipment and subcontract labor for maintenance, repair and construction projects.
• Assist Facilities Management by handling mail merges, incoming calls, emails, coordinating appointments, filing, and monthly/quarterly/bi-annual reports to state.
• Maintain and track any warranty, maintenance and annual agreements for Facilities including HVAC equipment, roof, new construction, elevator equipment and software licensing for HVAC controls.
• Assists in scheduling events, inventory tracking, work order management, and maintaining facilities reports.
• Assist with travel authorizations, purchasing procedures, credit cards, timesheets, and leave forms for Facilities staff.
• Offer customer service by handling multi-line phones, messages and walk-ins.
• Participate in departmental planning and evaluation.
• Perform other duties as assigned by Facilities Management.
