Minimum Qualifications

(Applicant must meet all of the minimum requirements)

1. Associate’s degree (N 14) or Diploma (N 13) in Dental Hygiene or Dental Assisting;
2. Must have at least three years of full-time or equivalent work experience as a clinical dental assistant or dental hygienist;
3. Dental office experience;
4. Experience with Dental software;
5. Certified Dental Assistant II or Registered Dental Hygienist;
6. Current Basic Life Support for the Healthcare Provider certification.
7. Experience with digital x-rays and intraoral camera.

Preferred Qualifications

1. Dental office manager experience.
2. Inventory experience.
3. Proficiency in a foreign language such as Spanish, an East Slavic language, and/or American Sign Language.
4. Certified Dental Assistant.
5. Eaglesoft experience.

Position Description

Job Description Summary
The Dental Clinic Office Assistant & Allied Health Support position provides front office and clerical support for the Dental Assisting and Dental Hygiene clinics and faculty. During summer and clinic downtime, the position also assists Allied Health programs with administrative tasks.

 

Duties
Assist with Dental Clinic Office Operations (Primary Responsibility)
1. Manages appointments, records, inventory, hazardous waste, and infection control.
2. Greets and directs patients and visitors to the appropriate clinic or area.
3. Gives directions to the clinic for patients and/or visitors.
4. Assists with answering the clinic phones.
5. Monitors and responds to dental clinic emails.
6. Prepares and maintains appointment matrices for both Dental Assisting and Dental Hygiene.
7. Schedules dental assisting patient appointments.
8. Assists hygiene students with scheduling hygiene patient appointments per faculty directives, including overwrites
and edits.
9. Assists students in front office functions as part of their clinical experience.
10. Audits, purges, and maintains patient records/charts in compliance with HIPAA.
11. Corresponds with dental practices to receive and transmit prescribed radiographs and electronic dental records.
12. Performs bookkeeping and general office duties as assigned.
13. Procures petty cash from the Business Office at the beginning of each clinic day.
14. Reconciles and returns petty cash and daily income at the end of each day.
15. Coordinates IT service requests for all clinic computers.
16. Performs software updates in coordination with IT.
17. Oversees maintenance of sterilization equipment
18. Schedules and tracks maintenance for dental equipment.
19. Orders and maintains inventory of office, lab, and clinic supplies for both programs.
20. Completes all E-Procurement orders in the Dental clinic and assist with other Allied Health departments.
21. Maintains inventory spreadsheets.
22. Assists with planning and coordinating pinning ceremonies for Dental Assisting and Dental Hygiene.
23. Coordinates print shop and bookstore requests to create and distribute student handbooks.
24. Records and maintains electronic minutes for: weekly program meetings, monthly department meetings, and yearly advisory committee meetings.
25. Uploads meeting minutes to the Department Team Site on the Portal.
26. Coordinates Advisory Committee meetings including securing locations, setting up agendas, arranging meals, and post-meeting breakdown.
27. Assists with accreditation activities as needed.
28. Collaborates with faculty on curriculum revisions to ensure compliance with CODA standards, North Carolina Community College System standards, and SACSCOC criteria.
29. Assists in preparing course materials, correspondence, and maintaining student records.
30. Provides supportive services for student recruitment and admissions activities. Allied Health Division Support (Primarily Summer or As Needed)
31. Assists the Allied Health Administrative Assistant with general clerical and operational duties.
32. Helps prepare and process: employee contracts, onboarding paperwork, travel forms, purchasing documentation.
33. Performs data entry and updates in college systems (e.g., Colleague).
34. Supports program chairs across the division with: accreditation documentation and site visit preparation, survey preparation, required institutional and departmental reports, program handbooks.
35. Assists Allied Health programs with student advising duties as needed.
36. Organizes digital files and maintain inventory spreadsheets.
37. Helps coordinate special project logistics for division-wide efforts. 38. Supports meetings and events at the division level.
39. Performs other duties as assigned to support division operations and ensure continuity during clinic downtime. Institutional Engagement & Professionalism
