Preferred Qualifications
Associate Degree Preferred, with working experience in the business community. Notary Public certification and Bilingual (Spanish) is a plus.
Position Description
Essential Duties and Responsibilities:
Customer Service & Front Office Support
1. Serves as a receptionist for the One-Stop Center, warmly greeting visitors, students, instructors, and guests.
2. Answers incoming phone calls and provides accurate information regarding course offerings, dates, times, fees, and registration procedures.
3. Collaborates with the Latinx Education Liaison to support the enrollment and success of Spanish-speaking students.
Program and Registration Support
4. Assists continuing education students with the registration process, including the accurate completion of forms, class rosters, and attendance records for all Continuing Education courses. 5. Assist curriculum students with general questions in relation to completing Residency Determination, Application for Admissions, Application for Federal Financial Aid, and/or Scholarship Applications.
6. Assists curriculum department with the processing applications, transcript requests, student data changes,and incoming transcripts.
7. Email students important course information throughout the preregistration, registration, and post registration periods.
8. Ensures timely and professional scheduling of classrooms, including room setup coordination for various instructional formats.
9. Provides administrative support to instructors, such as preparing instructional materials, making copies, and helping maintain an effective teaching/learning environment.
Data Management & Compliance
10. Enters student registration, attendance, and grading data accurately and confidentially into the Colleague system, adhering to NC Community College System reporting standards.
11. Maintains and updates records for the Defensive Driving Program through the National Safety and Health Council’s computerized system.
12. Maintains organized, audit-ready files for all Continuing Education classes in accordance with state and college policies.
13. Assists with document management tasks, including scanning and filing student records. 14. Maintain strict confidentiality of student records and other materials or information of a confidential or sensitive nature as it relates to FERPA (Family Educational Rights and Privacy Act).
Financial & Purchasing Responsibilities
15. Assists in the collection and reconciliation of registration fees, book sales, and other payments, ensuring accuracy and timely deposits.
16. Prepares and submits purchase requisitions to support program operations and instructional needs.
Administrative Coordination
17. Manages incoming and outgoing mail for the Educational Programs area, checking and distributing mail at least twice daily.
18. Participates in team meetings and contributes to continuous improvement efforts in WCE program operations and Student Success Team.

19. Performs other related duties as assigned to support the overall mission and goals of the College.
