Minimum Qualifications
Associate’s Degree in Business, Office Systems Administration, or a related field. Office Administration experience with skilled ability to communicate effectively to students, faculty and staff. Proficient in Microsoft applications.
Preferred Qualifications
Community College experience with the colleague system.
Position Description
- Serves as a primary point of contact for student interaction within the Health Human and Business Services (HHBS) and Workforce and Industry departments.
- Answers and routes phone calls, greets visitors, handles inquiries from the public and co-workers in a cooperative, courteous, and professional manner.
- Refers students to appropriate advisor or success coach and assists in assignment of advisors.
- Prepares and coordinates correspondence, checklists, alternative instruction forms, compliance documentation, meeting minutes, and communication to/from faculty and staff and maintains office files.
- Assist in the Program Advisory Board processes such as verifying the board members, correlating the paperwork and taking the board minutes.
- Assists in preparing approval/accreditation requirements reports with the Medical Assisting, Early Childhood Education, Cosmetology, and Computer Integrated Machining programs.
- Compiles and provides departmental documents to HHBS Dean and Workforce & Industry Dean for approval and timely submission (i.e. course schedules, course substitutions, travel reimbursements, etc.)
- Preparespurchase requisitions, work orders, travel requests, time sheets, and other items as needed.
- Prepares and maintains room calendars and answers inquiries about room availability and schedules accordingly.
- Submits ticket requests for maintenance, security/keys, technology, and other needs for department faculty, staff and assigned buildings.
- Orders and distributes office supplies, operates office equipment (copier, fax, scanner, etc.) and coordinates incoming and outgoing mail and deliveries.
- Coordinates annual equipment inventory and processes equipment transfers.
- Participates in college-wide activities as required.
- Assists with maintenance and updates of department web presence.
- Assists in distribution and collection of part-time faculty contracts including substitute instructors as directed by the HHBS Dean and Dean of Workforce & Industry.
- Assists with preparations for department and program special events (i.e. Skills USA, open houses, pinning ceremonies, graduation, career fairs, etc.).
- Assists in the recruitment, selection, and supervision of work-study students. Verifies and signs work-study student timesheets.
- Works independently within the parameters and guidance provided by the HHBS Dean and Dean of Workforce & Industry.
- Works collaboratively to resolve departmental and interdepartmental issues.
- Maintains strict adherence to confidentiality of students and personnel. Utilizes FERPA compliance procedures in all student related matters.
- Maintains currency on technology and software updates related to the responsibilities of the position.
- Adheres to all institutional policies and procedures
- Performs other duties as assigned.
- May operate college-owned vehicles.
- Perform other duties as assigned by the Dean of HHBS and Dean of Workforce & Industry.
