Expected Work Hours

Mondays through Fridays- 8:00 a.m. to 5:00 p.m. with one-hour for lunch for a minimum of a 40-hour work week established to allow the employee to adequately fulfill the assigned duties and responsibilities. Additional hours on evenings and/or weekends may be necessary on occasion. Summer schedules may vary to enable four-day or four and one half-day work weeks.

Position Description

Description

The HR Specialist, Employment is responsible for supporting the appropriate HRTM Team Members with processing new hire onboarding, data entry, personnel change entry, file management, and monthly reporting. The HR Specialist, Employment works closely with HRTM Staff to ensure timely communication of new hires and personnel changes with the appropriate campus partners.

Examples of Duties

    1. Assist Sr. HR Generalist with processing employee information in the Colleague information software system and ensure that accompanying documentation is on file; with a primary focus on part-time employees.

    1. Ensure all documentation is in place for new hire files and create new hires information in the Colleague system;

    1. Assist Sr. HR Generalist with all personnel changes (status and pay changes) in the Colleague system as needed;

    1. Assist in developing, recommending, and implementing human resources-related processes, procedures, and policies;

    1. Communicate college policies and procedures to employees and others upon request or as necessary;

    1. Ensures that the Employment Eligibility Verification (Form I-9) process is performed and employment authorization is obtained for every new employee within the time mandated by the US Department of Homeland Security;

    1. Assist the Director with the college’s annual Staff Information Report and IPEDS report submissions;

    1. Enter transcripts into Colleague as received; Facilitate employee credentialing and update the appropriate systems.

    1. Performs background checks on all new hires and re-hires for the college with the exception of the Campus Police and the Public Safety Department;

    1. Assist Director with the training of HR processes to college personnel;

    1. Maintain lists of new hires, resignations, and terminations;

    1. Maintain Voluntary Shared Leave reporting in Colleague;

    1. Assist in the day-to-day activities of the Human Resources Department as necessary;

    1. Additional duties as assigned by the Director;

    1. This position is considered essential when and if a State of Emergency is declared by the President
