Position Description
-
Wilson Community College is seeking a dynamic, highly organized, and experienced Executive Assistant to the President and Secretary to the Board of Trustees. This position plays a critical role in supporting the President’s Office and serves as a primary liaison to the College’s Board of Trustees. The Executive Assistant ensures the highest level of administrative support, coordination, and professional representation for the College’s leadership, requiring a combination of technical expertise and emotional intelligence. The successful candidate will be a trusted partner to the President, known for excellent communication skills, judgment, confidentiality, and diplomacy.
Essential Duties and Responsibilities:
Presidential Support- Manages the President’s complex calendar, appointments, meetings, and travel logistics.
- Drafts and edits correspondence, reports, presentations, and meeting materials with precision.
- Maintains and distributes official minutes for the President’s Cabinet and other meetings called by the President.
- Coordinates internal and external meetings and events hosted by the Office of the President.
- Serves as the President’s representative in interactions with the public, faculty, staff, students, community leaders, and dignitaries.
- Maintains confidentiality in all matters and exercises sound decision-making in a high-paced environment.

Board of Trustees Liaison
- Prepares and distributes notices and materials for Board of Trustees and committee meetings.
- Compiles agendas and supporting documentation; coordinates and attends all official meetings.
- Records, transcribes, and maintains official minutes for Board and committee meetings.
- Manages Board member travel, registration, reimbursements, and coordinates trustee training.
- Maintains and updates Board of Trustees information with external agencies and responds to requests from the NC State Ethics Commission.
- Oversees archival and records management for all Board-related materials.
- Organizes logistics for Board of Trustees events and prepares onboarding materials for new trustees.
- Serves as a resource for trustees, interpreting relevant portions of the NC Open Meetings Act and the Bylaws of the Trustees of WCC.
- Communicates routinely with Board members and submits bylaw revisions as recommended to the President.

Key Skills and Knowledge:
- Exceptional written and verbal communication skills.
- Mastery of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Problem-solving.
- Familiarity with NC General Statutes, State Board of Community Colleges Code, and the NC Open Meetings Act.
- Strong attention to detail and the ability to manage multiple priorities effectively.
- Excellent interpersonal skills with a demonstrated ability to work with diverse groups and maintain professionalism under pressure.
